Wolf Academy — Terms & Conditions

Effective date: 1st August 2025

1) Who we are

Wolf Academy ("we", "us", "our") is a junior rugby league development academy based in Sydney, NSW, Australia.

2) Acceptance & eligibility

By enrolling a player in any Wolf Academy program, the player and their parent/guardian (if under 18) agree to these Terms & Conditions and our Privacy Policy.

3) Program delivery, attendance & scheduling

Program scope: High‑performance development focused on preparation for NRL pathways, delivered through skills, S&C, and game IQ sessions.

Session times/locations: Published in the app and/or email. These may change for safety, venue availability, or coaching logistics; reasonable notice will be provided where possible.

Punctuality: Players must arrive 15 minutes early, ready to train (boots, mouthguard, and wearing their academy training shirt). Late arrivals must provide notice.

Behaviour standard: Respect coaches, teammates, officials, and venue staff. Zero tolerance for bullying, harassment, discrimination, abuse (including online), vandalism, substance use, or refusal to follow safety directions. Mobile phones away during sessions unless permitted. Parents/guardians must model respectful sideline behaviour.

Make‑up sessions: No make‑ups or credits are provided for missed sessions for any reason, including illness, injury, holidays, school events, or transport issues.

Adverse weather: Rugby league is an outdoor sport. Sessions proceed in rain and cool/windy conditions where safe. We may modify or cancel only if conditions are unsafe (e.g., lightning, extreme heat, poor air quality, field closure). No make‑ups/credits are provided for weather‑affected sessions.

Injury/illness during program: If a player is temporarily unable to train, we will offer suitable modifications where safe (e.g., non‑contact skills, rehab exercises). No refunds or credits are provided for missed time.

4) Fees, payment & placements

Program fee: The full program fee is payable upon enrolment (or via an approved payment plan). Enrolment secures a limited place that could have been offered to another athlete.

No refunds for change of mind or withdrawal: If a player withdraws before or during the program for any reason other than an approved dispensation under Clause 5, the full fee remains payable and no refunds/credits will be issued.

Payment plans: If we agree to a plan, all instalments remain due regardless of attendance. Late or failed payments may incur reasonable admin/debt‑recovery costs.

Price changes: Fees may change for future intakes; confirmed enrolments are locked at their quoted price.

5) Representative selection & early‑exit dispensation

Our goal is to develop players for NRL Representative Rugby League. If an enrolled player is selected into an NRL Representative Team or NRL Club Pathways team and seeks to transition from our academy into that Representative Program before or during the scheduled program:

  • You must submit a letter of offer from the associated NRL Club within 14 days of the transition date, requesting a dispensation to terminate the academy placement by email.
  • We will consider the request in good faith. Granting dispensation is at Wolf Academy’ sole discretion.
  • If dispensation is granted, the fees for 2 weeks form the date of request to transition date are still applicable.
  • If dispensation is not requested by email to the academy within 14 days, or is not approved, the full program fee remains payable from the date of submission.

6) Health, safety & medical

Risk warning (contact sport): Rugby league and strength & conditioning involve inherent risks, including but not limited to collisions, falls, sprains/strains, concussions, fractures, heat stress, and other serious injury. By participating, you acknowledge and accept these risks and agree the player will follow all safety instructions.

Fitness to participate: You warrant the player is medically fit to train and you will disclose any relevant medical condition (e.g., asthma, allergies, past concussion). We may request medical clearance at any time.

Protective equipment: Players must wear appropriate footwear and a mouthguard for contact activities. We may restrict participation if equipment is missing or unsafe.

First aid & emergency care: You consent to us providing first aid and, if needed, arranging ambulance/medical treatment. Ambulance/medical costs are your responsibility.

Assumption of risk & release: To the maximum extent permitted by law, you assume the risks of participation and release and hold harmless Wolf Academy, its owners, staff, and contractors from liability for injury, loss, or damage arising from participation except where caused by our negligence or breach of non‑excludable consumer guarantees.

Indemnity: To the maximum extent permitted by law, you agree to indemnify Wolf Academy, its owners, staff, and contractors against claims, losses, or costs arising from the player’s participation and conduct, except to the extent caused by our negligence or breach of non‑excludable rights.

Australian Consumer Law: Nothing in these Terms excludes, restricts, or modifies any non‑excludable rights or remedies under the Australian Consumer Law.

7) Media (photos & video)

We may capture photos/video during sessions and events for coaching analysis, athlete feedback, and promotional purposes (website, social media, printed materials).

By enrolling, you consent to the player’s image, voice, and first name being used without payment. You may opt out of promotional use by giving us written notice before the program starts; coaching/operational footage may still be collected and used internally.

If you opt out, we will take reasonable steps to minimise inclusion in promotional media, but group activity environments mean incidental capture may occur.

8) Data & privacy

Data collected: Contact details, player profile (age/position/medical info you choose to provide), attendance, training metrics, payment information.

Purpose: Registration, safety, program delivery, performance tracking, communications, and billing.

Storage & sharing: We use reputable third‑party providers (e.g., payment processors, training/communication apps) who may store data in Australia or overseas under contract. We do not sell personal data.

Retention: We keep data only as long as needed for the above purposes and legal requirements, then securely delete/anonymise it.

Your rights: You may request access, correction, or deletion (subject to legal limits) by contacting us. See our Privacy Policy for full details.

9) Property, venues & equipment

Personal property is brought at your own risk. We are not responsible for loss, theft, or damage.

Players/guardians are responsible for damage caused by wilful or reckless conduct to venues or equipment.

10) Disciplinary action & termination

We may terminate a player's enrolment without refund for serious breaches of these terms. Examples include (but are not limited to) repeated failure to follow safety instructions, abusive behaviour, or non-payment of fees. We will follow a fair process, providing a warning where appropriate, before taking such action.
